Privacy notice

Stony Brook Regional Sewerage Authority (SBRSA) operates this staff workspace and determines how its records and personal information are used. This notice covers the workspace application.

Information and purposes

We use your name, work email, account identity, role and permissions to provide authorized access. Password accounts store a password hash, not your readable password. Account and session records may include IP address, browser information, sign-in times and security events to protect access and investigate problems.

Staff profiles may include department, job title, supervisor, teams, hourly rates and an optional photo. Work records, assignments, labor entries, comments, feedback and uploaded files identify their contributors and may include information about other people. These support maintenance, operations, administration, recordkeeping and the purchasing workflows used by SBRSA. Provide only information needed for the task.

Sign-in choices

When you choose Continue with OpenAI, OpenAI may share your name, email, account identifier and profile photo, if available, after you authorize sign-in. We use that identity to connect you to an approved staff account. Password signup requires your name and SBRSA email and must be approved by Admin. Signing out ends access through that browser; it does not delete your account or work history.

Who can access information

Authorized SBRSA staff can access information according to their responsibilities and configured permissions. Comments and work attachments are shared work records, not private messages. OpenAI and its hosting providers process site data to operate ChatGPT Sites under the agreement and data-processing terms applicable to SBRSA. Information may also be disclosed when required or permitted by law.

Cookies and browser storage

Password sign-in uses a secure session cookie with a 12-hour lifetime. OpenAI sign-in and the hosting platform may use their own authentication and security cookies. Blocking required cookies can prevent sign-in. The application does not add advertising trackers or third-party analytics.

Optional navigation memory uses local storage, including an account/role identifier, filters and selected record IDs. It does not store work-record contents, form drafts or passwords. It remains until cleared in this browser. Your choice below is also saved locally so we can honor it. Navigation memory is enabled by default, and an existing choice to turn it off is respected; disabling it removes saved navigation for all workspace accounts in this browser.

Optional: saves your page, filters, selected item and expanded menus. Enabled by default; you can turn it off here. This choice applies to everyone using this browser. Account theme and UI scale are saved separately with your profile.

Retention and your requests

Account, work and audit records remain in the system until handled through an authorized records process. Disabling an account does not erase its history. Retention and deletion decisions depend on the record category, operational need, applicable public-records retention obligations, and any legal hold. No automatic deletion period is promised by this notice.

To request access, a copy, correction, deletion, a restriction on use, or withdrawal of consent where processing relies on consent, contact engineering@sbrsa.org. SBRSA will review the request, verify identity as needed, and determine what applicable law and recordkeeping requirements allow. Include your work email and a short description; do not send passwords or sensitive records with the initial request. You may also contact your site administrator. Any available right to complain to a regulator depends on the laws that apply to you.

Keep sensitive information out of uploads

Do not enter payment-card numbers or security codes, HIPAA-protected health information, passwords, Social Security numbers, or personal medical documents. Use SBRSA’s approved channels for those records. Crop or redact unrelated personal information from photos and documents before uploading. Contact Engineering promptly if something sensitive was submitted accidentally.
